Job Summary


We are seeking a compassionate and detail-oriented Intake and Admissions Specialist to join our team. In this role, you will manage the intake process, guide new clients and their families through admissions, and ensure a seamless transition into our services. Your strong organizational skills, excellent communication abilities, and dedication to providing high-quality care to children with autism and their families will be essential to our mission.


**Hours for this position are 12:00-5:00 Monday-Friday (CST)


Key Responsibilities

  • Promptly enter referrals for ABA therapy into our CRM system.
  • Conduct intake interviews with new ABA clients to discuss services, company information, and assess readiness to proceed.
  • Maintain regular communication with multidisciplinary team members to coordinate client care.
  • Schedule ABA assessments.
  • Ensure all necessary paperwork is sent to caregivers, completed, and uploaded into the CRM system prior to assessments or appointments.
  • Verify insurance coverage.
  • Manage client scheduling as needed.
  • Document all communications and attempts to contact families or healthcare providers within the CRM system.

Qualifications and Skills

  • Exceptional interpersonal and communication skills, with the ability to interact effectively with families, staff, and referral sources.
  • Meticulous attention to detail and the ability to handle sensitive information with confidentiality.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Effective time management skills to prioritize tasks efficiently.
  • Experience with high-volume data entry.
  • Basic understanding of ABA principles and child development is preferred.
  • Positive attitude and a commitment to collaborative teamwork.

Requirements

  • Bachelor's degree in business administration, psychology, early childhood education, or a related field preferred; high school diploma or equivalent experience required.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Prior experience with CRM systems, such as Central Reach, is preferred.
  • 2+ years' experience as a RBT, and/or 1+ years' experience working directly in the admissions/intake department within the ABA field preferred.
  • Bilingual preferred.

Physical Requirements

  • Prolonged Sitting: The job involves prolonged periods of sitting at a desk or workstation while performing tasks such as computer work, data analysis, and communication.
  • Computer and Office Equipment: The jobholder will use standard office equipment such as computers, phones, printers, and scanners.
  • Safety Risks: The office environment is generally low risk, but jobholders should be aware of ergonomic considerations to prevent discomfort or injury from prolonged sitting or improper workstation setup.
