Overview
Working under the supervision of the Executive Director, the Admissions & Foster Coordinator is an integral administrator that is vital to the success of the rescue and foster program for our organization. This individual is responsible for reviewing surrender requests, scheduling the intakes of those cats and also recruiting and maintaining a healthy feline foster program. The employee will be required to follow specific direction and adhere to the policies and procedures in the employee manual. Friends of Felines (FOF) employees should always represent our organization with professionalism and provide excellent customer service to visitors, adopters and clients.
Duties & Responsibilities
Admissions-
- Identify potential adoption & foster program candidates by reviewing surrender requests from the public (cats and kittens to bring into our foster/adoptions program) and make arrangements with the owner/caregiver to have the animal brought into our program.
- Maintain clear and concise records and perform accurate data entry.
- Communicate effectively with the Intake Specialists and the Operations Manager.
- Maintain relationships with other rescue entities and the transfer programs we have in place.
- Collaborate with other feline rescues and shelters to improve and bring innovative ideas to the adoptions and fostering programs.
Fostering-
- Responsible for recruiting, onboarding, training and communications with new and current foster families.
- Maintaining the inventory in the foster supplies cabinet and ensuring each foster family has the necessary items to provide top quality care for their fosters.
- Writing the monthly Department Lead report and submitting to the Executive Director for review.
- Reporting any outbreaks of illness in foster animals to the Operations Manager or Medical Director.
- Write content for social media accounts that promote our fostering and adoptions program.
- Respond to emails in the FOF Fostering email account.
- Maintain the FOF foster database with clear methods to communicate with fosters.
- Protect the confidentiality of all clients, volunteers, visitors, and donors.
Education & Work Experience Requirements
- Required: Must be a high school graduate, or equivalent and 18 years of age.
- Required: 1 yr. experience in a professional office/business environment.
- Optional: Associate degree in any office/administrative or animal science field.
Skills & Physical Requirements
Skills:
- Excellent customer service in person, on the phone and through email communications.
- Close attention to detail while multitasking.
- Capable of maintaining a high level of professionalism and calm demeanor in stressful situations.
- Fluent in speaking and writing in English.
- Confident around cats of all behavior types. *Behavior and Fear Free handling training will be provided.
- Competent in Google Docs, Google Sheets, Internet searches and basic data entry in the shelter database.
Physical & Workplace Standards:
- Must be able to lift up to 40 lbs., bend, stoop and stand for periods up to 3 hours at a time.
- Must be consistently punctual in attendance as described in the employee manual.
- Must be able to be around and have physical contact with cats of all ages, breeds, coat lengths without endangering your health in any way (allergic, immunocompromised, hemophilia, etc.)
- Must have reliable transportation to and from scheduled shifts, with occasional transport of shelter animals to another facility.
