Manage the end-to-end payroll process global company with multi-state and international operations
Perform payroll-related functions including but not limited to: processing new hires, termination status changes, tax changes, wage garnishments, deductions, direct deposit and 401k
Oversees the maintenance of payroll records and files including, but not limited to PTO and other accrued leave
Maintain current knowledge of company policies and procedures, employee handbook, benefit plans, and legal requirements to ensure reports are timely and the company is in compliance with all regulations
Responsible for semi-monthly, monthly, quarterly, and annual Payroll Tax reconciliations; and drives solutions for any discrepancies by partnering with the Payroll Service Provider
Partnering with the People Operations team includes, but is not limited to the following:
- Reconciling recurring and non-recurring entries on the semi-monthly payroll checklist against the payroll change reports
- Entering non-recurring payroll changes and adjustments in the payroll system
- Reporting of payroll census to third party workers’ compensation carriers
- Monthly reconciliation of benefits invoices and semi-monthly reconciliations of employee and employer FSA contributions to Third-Party Vendor
- Remittance of 401(k) contributions to Third-Party Vendor and quarterly audit of 401(k) contributions
Develop and enhance processes and procedures for payroll and time tracking driving accuracy and scalability
- Processing/Validating all Payroll Tax-related transactions including but not limited to; new hires tax set-up, termination payments, taxability of benefit deductions, Federal/State/Local tax withholdings, Supplemental Income taxation, Taxable Fringe benefits, Visa tax exemptions, stock, and equity grants, etc.
- Provides research, analysis, and recommendations that lead to effective payroll tax strategies; recommends changes in structure, policies, procedures, and methods related to the payroll tax; proposes strategies for implementing changes; oversees the implementation of changes
- Manages the relationship with Payroll Tax Service Provider to ensure timely and accurate Payroll Tax payments and filings with the appropriate federal, state, and local agencies including but not limited to federal tax withholding, state withholding, unemployment tax, 941’s, 940’s, W-2’s, W-3, annual state filings, and employee wage reports.
- Oversees global pre and post-Payroll Tax processes in accordance to departmental internal controls and standards and in compliance with local tax laws
- Provides assistance in the following audits: Annual 401k audit and Worker’s Compensation Audit, and works with internal and external auditors to gather information/documents, review processes, schedule meetings, resolve issues, and ensure any gaps are remedied
- Interprets and provides advice regarding the payroll tax ordinance; recommends solutions to politically sensitive situations; interprets complex policies and situations, evaluates and grants exceptions to policies and procedures
- Leads Payroll Tax-related operations and supports Month-End, Quarter-End, and Year-End Payroll deliverables
- Stays current and maintains applicable Payroll Tax compliance knowledge by reviewing and studying professional publications, as well as completing Payroll Tax educational courses annually and as requested by department management
- Develops ad-hoc financial and operational reporting, as needed
Required Qualifications
- Bachelor's degree in Accounting or related discipline
- HRIS/Payroll systems: Workday experience required
- Certified Payroll Professional (CPP) preferred
- Extensive knowledge of the payroll function in a multi-state and global company including preparation, balancing, internal controls, and payroll taxes
- Knowledge in benefit programs, and compensation/equity principles and practices
- Experience with monthly bonuses and commissions programs.
- Proficient in MS Office Suite including strong Excel skills
- Strong analytical, problem-solving and organizational skills
- Excellent verbal, written and interpersonal communication skills

Pay: $23.55 - $25.92 per hour
Expected hours: 40 per week
