RESPONSIBILITIES
Scheduling (60%)
Own and manage internal and external scheduling, ensuring smooth coordination across global time zones.
Schedule all client-facing meetings, including kickoff calls, biweekly check-ins, monthly updates, project delivery calls, and end-of-engagement debriefs.
Schedule and manage internal team meetings across various teams.
Data Entry & List Management (30%)
Manage and maintain internal data systems, ensuring accuracy in contact lists, CRM tools, and spreadsheets.
Support team members in data entry tasks related to client tracking, scheduling, and operations.
Maintain well-organized and accessible information to enhance team efficiency.
Administrative Support (10%)
Provide support to the COO and Business Manager, including scheduling, meeting preparation, agenda creation, note-taking, follow-ups, and administrative tasks.
SKILLS & EXPERIENCE
We appreciate individuals who take initiative and enjoy solving challenges collaboratively. Key qualifications include:
Exceptional scheduling and coordination skills, especially in fast-paced, high-volume environments across multiple time zones globally.
Experience managing executive emails and communications with professionalism and discretion.
Strong organizational and data management skills (Trello, Google Suite, Pipedrive, Airtable).
Excellent written and verbal communication skills; ability to interact positively with clients and staff at all levels.
Ability to manage multiple priorities efficiently and effectively, and meet deadlines in a remote, global work environment.
A collaborative and solution-focused approach, with a proactive and responsive attitude.
Experience in business development support, meeting coordination, and client onboarding preferred.
Familiarity with nonprofits, social impact work, and fundraising is a plus.
COMPENSATION & STRUCTURE
Reports to: Business Manager
Part-time (5-8 hours/week), remote role
Compensation: $20-25/hour
Potential for role expansion over time
