Job Summary


Veritas Management is seeking a highly organized and detail-oriented Administrative Assistant to provide general administrative support for Technical Training and Assistance (TTA) contract activities and deliverables. This role will work under the direction of the Regional TTA Coordinator and the Regional Office, ensuring smooth operational support and effective coordination of various administrative tasks.


Key Responsibilities

  • Provide general administrative support for TTA contract activities and deliverables as directed by the Regional TTA Coordinator and the Regional Office.
  • Conduct event planning for regional TTA meetings, events, and virtual TTA events.
  • Perform clerical and administrative duties, including data entry, data aggregation, and recordkeeping.
  • Aggregate and prepare data from OHS-owned systems to inform and report on TTA activities.
  • Support the Regional TTA Coordinator in preparing and submitting accurate and timely monthly and quarterly reports and travel plans.
  • Maintain access and accuracy of record-keeping and data entry across various data systems.
  • Assist in completing the annual Regional National Training Plan (RNTP) process.
  • Undertake other tasks specific to the support of the Regional TTA Coordinator’s work or as requested by the Contracting Officer’s Representative (COR).
  • Participate in national, regional, and state work groups and meetings as directed by the OHS COR.
  • Support emerging Office of Head Start (OHS) initiatives and priorities.
  • Serve as the Smartsheet liaison between the Office of Head Start and regional contract staff, providing Smartsheet support, including understanding, usage, and troubleshooting of the OHS Travel Planning and Approval System.

Qualifications

  • A minimum of a two-year college degree from an accredited college or university.
  • Experience producing reports based on multiple data sources.
  • Proficiency in Microsoft Office Suite or similar applications and in the use of SmartSheet software and other required applications for collaboration and information management.
  • Strong verbal and written communication skills, with experience communicating to various audiences.
  • Ability to organize and perform multiple tasks simultaneously.
  • Experience providing administrative and technical support to project and/or contract management teams.
  • Experience in event coordination and planning, including in-person event logistics and technical setup and operation, as well as virtual event coordination through platforms such as MS Teams (preferred)
