Medcor is currently looking for a talented, tech savvy, Administrative Assistant who can work 24 hours/week on a Temporary basis. This assignment is projected for 6 months but could be for more or less. The candidate for the position will need to have a keen eye to detail and be able to work in Pacific Standard Time. The administrative assistant will support with the day-to-day operations of Medcor’s on-site clinic in Southern California, including La Jolla, San Diego, Carlsbad and Emeryville, CA. No Travel involved with this position.

The hours will be 7:30am - 4:30pm
This position pays $23-$25/hr based upon experience.
What to expect as a Medcor Administrative Assistant
Administrative Support for Client
- Answer phone calls and emails
- Return voicemails
- Process travel arrangements
- Review/edit/format documents as requested
- Process monthly expense reports
- Schedule meetings as needed
- Attend meetings and take notes as requested
- Perform data entry and filing tasks for accounts payable, purchase orders, equipment inventory, and confidential employee or departmental files
- Receive, record, and distribute packages and mail (if on-site)
- Copy, collate, and otherwise prepares reports for mailings, meetings, and other correspondence
- Coordinate new office set-ups (phones, computers)
Finance
- Set up client-approved purchase orders necessary for on-site clinic supplies, equipment, maintenance, labs, and other support
- Process invoices for payment through client systems
- Create blanket PO numbers when requested by client
- Onboard new suppliers to client
Wellness Support
- Schedule flu vaccine clinics and assist with sign-ups
- Scheduling webinars as requested
- Attend site committee meetings and assist with meeting minutes
Occupational Health Program Support
- Assist site HSE with recordkeeping and documentation as trained and assigned
- Schedule CPR/First Aid/AED training classes
Other
- Other duties as assigned
You Must
- Have at least a High School Diploma
- Have a minimum 1 year of clerical work experience
- Be able to greet visitors, clients, and colleagues in a friendly and courteous manner
- Be able to type at least 50 wpm
- Be able to proofread
- Be a Shared Point Expert
- Be an expert in Microsoft Office Suite or similar software
- Have a basic understanding of office equipment, clerical procedures and systems such as recordkeeping and filing
- Be able to work independently and identify and solve problems
- Be able to organize and prioritize work
- Have excellent written, verbal and keyboarding skills, and be fluent in English
- Be able to lift up to 25 pounds of weight, and be able to walk long distances and up and down stairs

- You have previous office experience
- You have medical certifications or experience
